Our WC site stopped syncing with Square sometime recently, which we’ve only just discovered. Wwe believe it stopped working after upgrading to 2.0, and the reconnection to Square didn’t take properly, I suppose, but we’re still trying to verify which products are missing accurate inventory counts in Square. Still, it’s a lot of products.

Since Square only gets used as a POS application for purchases when when we go to shows and events, there haven’t been many of those since the upgrade. It would be FAR easier to just push a manual sync of ALL products from WC to Square, since the numbers in WC are, as far as we can tell, correct. But that doesn’t seem to be an option anymore. And if we try to do it one-by-one (which is an unreasonable expectation when you’re talking about dozens, if not hundreds, of products), we have to first pull the (incorrect) data from Square and then manually change it back to the correct number, just to get the correct number over to Square.

Likewise, we’ve historically used the plugin PW Bulk Edit to update inventory counts in WC when new inventory comes in. It turns out that even though no visible errors are thrown during these imports, the inventory counts aren’t actually updating, either in WC or in Square, presumably because there’s that pesky lock on the inventory count until you click the “Fetch stock from Square” link on each product/variation. This isn’t practical for us. Some of our products have 50+ variations, and updating them manually is just a completely unreasonable expectation.

I tried downgrading to v1.0.38 in order to initiate a full WC—>Square sync, but it timed out almost immediately every time I tried. So we’re back at 2.0.3, which works moving forward, but doesn’t provide an option for fixing the past sync errors and mismatched inventory counts.

Suggestions for how to fix this?

  • Hi @elmdesignworks,

You can do a manual sync in the Square settings, the walkthrough is here. If that is not working let me know!

Since we’ve been able to reconnect (after being auto-updated to v2.0.4 (which shouldn’t have happened given our settings, btw) and losing the connection again), the manual sync has done nothing to correct the discrepancies in the numbers between WC and Square that have arisen since the system stopped syncing. We’ve had to do a manual audit of all product inventories in both systems, and manually correct them one by one.

But that still doesn’t address the main issue that we can no longer do bulk inventory updates in WooCommerce under the new v.2.0.4 plugin. The inventory counts are locked down for every product unless and until you go in and click the “Fetch from Square” link on the inventory you want to update. Even if you have WC set as the SOR. This is incredibly frustrating and a downgrade in functionality. We cannot do this in WC when we get new inventory in — it’ll take far too much time and is too prone to error — and doing it in Square even with a spreadsheet takes longer and requires more steps than our previous workflow, which was fast and easy.

Do you have plans to correct this oversight in lost functionality in future releases?

    Hi,

Thank you for your explanation. I see what you mean. There is a known bug in WooCommerce Square version 2.0.4 when it comes to updating product stock from WooCommerce to Square.

Currently, stock in Square is updated only when you:
    – Manually edit product in Woo, click Fetch from Square, then enter the new amount, or
    – Sell the product through WooCommerce Square payment gateway.

When you import, bulk edit, or sell products through another payment gateway, product stock will not update.

Our developers are aware of this problem and working on a fix now. We don’t have an estimate time for this yet, but plan to include it in the next plugin version 2.0.5. Please keep an eye on the next plugin update and let us know if the issue still occurs then.

Hi @madeincosmos — Thanks for following up and providing an update. In the meantime, before a fix is released, do you have any suggestions for what we can do to keep our inventory counts accurate? Right now, the only thing we know to do when we have an order come in through WC is to go in and manually change the inventory counts in Square to match the new WC counts, before the hourly Square>WC automatic sync occurs. And when we need to bulk update inventory counts after we get in a new shipment of products, to manually bulk edit those counts in Square instead of WC.

Neither of these are ideal, but the manual edits after a sale are particularly problematic, as there’s so much room for error. Any tips or tricks to help alleviate this problem would be appreciated.

    Thanks!

    Hi @elmdesignworks,

That’s a tricky case we have here. We’re not familiar with any workaround that would keep products in sync after sales in Woo that are processed through other payment gateways.

You mentioned that you only need to use Square as POS on shows and events. In such case you might consider disabling completely the hourly sync. This would require importing stock levels from a CSV before every event, but at least the hourly sync wouldn’t wipe out information about sales. The biggest challenge here would probably be integrating sales made at the event with the sales made online at the same time. Hopefully this isn’t going to take long to fix, so we’ll keep you updated about any progress on this.

    Have a great day!

    Hey @elmdesignworks

I wanted to loop back here and let you know we haven’t forgotten. We’re still tracking this and I’m afraid we’re not looking at it being part of the next release of the Square plugin – 2.0.6

As we’re aware of this and working on a fix, I’ll mark this thread as Resolved

    Thanks,
