event mamagement, howto?

I have a strange need for my WP site, let me explain.

My site is for an archery club and I need to manage people’s registration to competitions. I’d like to have a list of competitions (like a calendar) and allow site users (my club’s archers) to register for the competitions they want to attend. When it’s time, let’s say a couple of weeks before that given competition, I’ll manually send an email with the archers list to the club that hosts the competition like “hi, here’s the archers from my club that want to join the game”. After that, I’d like to show in some way if the other club confirms the subscriptions or not.

I’m going mad with this, I’m sure that it’s possible but I can’t find the way… can you please suggest me some plugin that can do this?
