How do I map a bank deposit to donations received? We receive automatic bank deposits on average once a week from the donations. The challenge is to map the donations that make up that deposit. Most of them are easy to map manually, sometimes it gets difficult.

Is there a way to run a report that maps all deposits to the corresponding donations?

    Any help is greatly appreciated

  • Hi @rahilj,
Glad you reached out. I’ll need a little more information to understand your question.

Are these bank deposits initiated through a donation form using Offline Donations?
If yes, these are reflected in Donations > Donations and you will need to manually update the status to “Complete” once you have received the funds for that donation.

Are these bank deposits collected outside a donation form?
If yes, you’ll need to add these donations manually using the Manual Donations add-on (a paid plugin that I cannot support here, but if you’d like more information you can reach out to us at givewp.com/contact-us/).

It sounds like you may be receiving multiple bank deposits for a single donation. If that is the case, GiveWP counts each transaction as a separate donation, you wouldn’t be able to combine them.

On that same line of thought, do you mean you are trying to map bank deposits to subscriptions (recurring donations)?

If none of these is quite your situation, I’ll need a more detailed explanation of what you mean by “mapping” a donation, and what types of donations these are (one-time vs subscription). A bit more detail will help me understand what you are trying to do, and I can send along some recommendations.

    Thanks for your response.

The deposits are made to the bank automatically from the donations offline. Each donation does not have a deposit. It is a collection of donations that make up a deposit. Some of the donations are from subscriptions and some are live from the website (via plug in).

The challenge we have is that we do not when a deposit is made to the bank, which donations the deposit is for. Sometimes it is just one donation but a lot of times it is a sum of multiple donations, and it gets complicated to manually figure out the donations that deposit is for.

    Hi there,

Thanks for sending along that explanation. Here’s what I think is happening:

You are receiving a lump sum bank deposit that includes one or more donation payments from outside of GiveWP, instead of seeing a single payment for each individual donation. Do I have that right?

Donations not received via GiveWP, like pre-existing payments, are a little different in terms of tracking. They would need to be entered manually using an add-on like?Manual Donations. I can’t provide support for that here, but if you are interested in maximizing your use of GiveWP, reach out to our Customer Success team here to demo our premium features and receive an exclusive discount on our plans.

You would still need to view the funds in your bank account to enter these donations individually, it wouldn’t be able to filter through your bank deposits, but it would allow you to create a donation record and help track donations moving forward.

GiveWP doesn’t have an option for filtering through your bank deposits, for that you would really need some good accounting software. Each donation you receive needs to be an individual transaction, not a lump sum. Lump sums are nearly impossible to untangle without access to specific bank records, and even then without a way to cross reference the records, this would be a very tough task.

Let me know if you have questions about this, or if I’ve misunderstood things here. I’m very happy to make recommendations if we can be of help!

    Hi @rahilj,
Hopefully I’ve given you some rails to run on here! I’m marking this as resolved for now, but if you have other questions you can create a new ticket and I’ll be happy to give things a look. Have a great day!
