    Hello,

One of our store assistants claims ORDER X appears on the vendor’s dashboard but it’s missing from orders list.

  • Hi

If an order appears on a vendor’s dashboard but is missing from the orders list in WooCommerce, it could be due to several reasons. Here are some steps you can take to investigate and potentially resolve this issue:

    1. Check WooCommerce Status:
Start by checking the WooCommerce system status to ensure that there are no errors or issues reported. Go to WooCommerce > Status in your WordPress dashboard and review the information there, including any error messages. Resolve any reported issues.
    2. Order Status:
Verify the status of the missing order. In WooCommerce, orders can have different statuses (e.g., pending, processing, completed). Make sure to check orders with different statuses to see if the missing order is categorized differently.
    3. Filter and Search Orders:
Use the search and filter options in the WooCommerce orders list to search for the missing order. You can filter orders by date, status, customer, and other criteria. Sometimes, orders can be misplaced in the list.
    4. Check Trash and Archived Orders:
Orders that are accidentally deleted or archived may not appear in the main orders list. Check the trash and archived orders sections to see if the missing order is there.
    5. Review User Roles and Permissions:
Ensure that the vendor has the appropriate user roles and permissions to view and manage orders. If the vendor’s role is restricted, they may not see all orders.
    6. Third-Party Plugins and Themes:
If you’re using a multi-vendor plugin or custom theme, it’s possible that these components may affect how orders are displayed to vendors. Check if there are any compatibility issues with third-party plugins or themes. Temporarily deactivate non-essential plugins to see if the missing order reappears.
    7. Database Integrity:
In rare cases, database integrity issues can cause orders to go missing. You might want to consider using a database repair tool or plugin to check and repair any database inconsistencies.
    8. Check with Vendor:
Communicate with the vendor who claims to have seen the order on their dashboard. Ask them for details about the order, such as the order number and customer information. This can help you pinpoint the specific order in question.
    9. Logs and Audit Trails:
Some WooCommerce extensions or third-party plugins may log changes to orders. Check if you have any log or audit trail plugins installed that could provide information about the missing order.

By systematically going through these steps, you should be able to identify and address the issue of an order appearing on a vendor’s dashboard but not in the main orders list in WooCommerce.

    Hi @ramirezandujar

Are you using any multi vendor plugin or API to connect with your vendor? Could you please provide us with a clear screenshot of what you’re seeing on your end? This will help us better understand your situation and address your concerns more effectively.

If you don’t already have a screenshot service installed, you can try https://snipboard.io. You can share the direct link to the image as a response to this topic.

Furthermore, I’d like to understand your site properly. Please share with us the necessary information below for us to investigate the issue further:

    • System Status Report: navigate to WooCommerce → Status. Select Get system report and then Copy for support.
    • Fatal Error log: Share a copy of any fatal error log found under WooCommerce → Status → Logs.

You could copy and paste your reply or share it via https://pastebin.com/ and send the link here.

Additionally, this may be due to a temporary glitch or a synchronization issue. To resolve this, I recommend clearing the cache of your browser and then logging back into your WooCommerce account.

Thank you for your patience and understanding. Looking forward to helping you.
