    Hi there,
We have experienced this issue a number of times now.
WooCommerce themselves do not want to help. If there is someone that has an idea to fix this – it would make admin much much easier… like it is meant to be.

The admin email has had orders come through and confirmed by paypal that a customer has placed an order successfully. However there is no record of it in Woocommerce.
    Any help would be appreciated.

    Hi there ????

I’m from WooCommerce itself, and I want to help ??

If PayPal is confirming your transactions, but your store doesn’t know about it, then it’s because PayPal is not sending that info back to your site.

Without knowing which implementation of your PayPal you’re using, I’ll assume Paypal Standard. In that case I would suggest you to work through the setup instructions for it here:
    https://docs.woocommerce.com/document/paypal-standard/

Specific to the issue of PayPal not telling your site about the order statuses, is the setting described at #7 of Advanced Options that you’ll find here:
    https://docs.woocommerce.com/document/paypal-standard/#section-3

    It says:

7/ Tick the box for Enable IPN Email Notifications (optional). Instant Payment Notifications (IPN) are sent from PayPal when you receive a payment, issue a refund or a chargeback or cancellation.

Then also refer to the section titled PayPal IPN URL, and follow the instructions. Here’s the link for that section:
    https://docs.woocommerce.com/document/paypal-standard/#section-6

Once all that is in place, your store and PayPal should talk to each other in a way that your store will know when payments were successful on the PayPal side.

    Hey man
Thanks so much for tracking the forums and getting back to me.
The admin receives a confirmation email from WooCommerce !
However there is no record of the order on WooCommerce …

Do you think it is still a PayPal issue?
I thought that if someone goes through the process, whether they check out with Paypal or not, there should be something in the backend of Woocommerce?

Hi again! I misread the first time and thought it was related to the order status, not the entire order, my apologies.

So you’re getting WooCommerce emails saying you’ve had an order, and you can confirm it in your PayPal account, but when you check on your site, there’s no order at all.

Is it possible that you’ve got a duplicate site somewhere? Perhaps one used as a staging site, or one you recently moved from?

    Hi there
    No worries.
Yes we do have a staging site and old backup version.
However there is no record of this order there…
It is peculiar since such events have happened before.

This is quite unusual. You can tell the source of the email though, which should give a clearer indication of which site is sending the order emails. By looking at the New Order email (the one the store manager receives as a notification of a new order), here’s what you can see:

    1. The “From” field is the store’s default admin
    2. Is the store manager / admin email (could be same as #1)
    3. Is a link for the store manager that goes back to this order’s edit screen on the site.

#1 is more implied (it could be the same across several sites), but #2 would be a link back to the specific site that sent it, and the order edit screen for the specific order.

Image showing the various parts of the email a store manager or site admin would receive

This will rule out or confirm if the orders are coming from anywhere except your live site and will give direction for the next troubleshooting steps.

    Hi there,

We haven’t heard back from you in a while, so I’m going to mark this as resolved – if you have any further questions, you can start a new thread.
