I am an admin for our company’s Knowledgebase sites and we are using the KnowAll theme by HeroThemes. We have a site used by internal employees and are planning on having this same site be able to be accessed by external representatives and have a few questions if you would be able to help answer them.

    Questions:

We want our internal employees to have access to all the content on the site. They should be able to search and find any article/page that is posted. We have external representatives who we want to have access to a paired down version of the site. The external reps would only be able to search for and navigate to the pages that we want them to see. If they do not have permission to an article/page they shouldn’t even know it’s there (i.e. it doesn’t come up when they search or navigate the site).

    1. Is there a way of restricting visibility to individual articles unless logged in (not an editor/admin)?
    2. How does the search functionality work?
    3. If you limit the categories, does it also limit what can be searched (i.e. for specific articles and categories)?
    4. Is this plugin for access control compatible with HeroTheme’s KnowAll theme?

    Hi,

Regarding the Internal access and the external access, we do have a plugin called Access Manager and the KB Groups add-on that will allow you to grant specific access to each type of user ( External vs Internal ). The access will not be visible to the user if they have not been given the appropriate access. However please note our Access Manager only controls our Knowledge base access no other pages on the website.

I highly recommend reading this article to learn the functionality of our Access Manager: https://www.echoknowledgebase.com/documentation/restrict-access-permission-privacy-scenarios-use-cases/ it will explain it better than I can.

    1. Is there a way of restricting visibility to individual articles unless logged in (not an editor/admin)?
Yes, this is available, users will only see what they have access to. Please see these articles for more details:
    https://www.echoknowledgebase.com/documentation/access-manager-and-add-ons/
    https://www.echoknowledgebase.com/documentation/groups-initial-setup/

    2. How does the search functionality work?
Search only finds articles based on available access.

    3. If you limit the categories, does it also limit what can be searched (i.e. for specific articles and categories)?
You can limit by Categories, Sub- Categories or individual articles. If they don’t have the access search results will not find those articles, it’s like they don’t exist.

    4. Is this plugin for access control compatible with HeroTheme’s KnowAll theme?
Access Manager has Echo Knowledge Base already included for the purpose of creating KB content and control the access to Echo KB. It does not control other content.

If you need further help with our knowledge base plugin we would be very happy to help you. Please open a support ticket on our website at https://www.echoknowledgebase.com/technical-support/

Please note: This forum is not monitored regularly and it does not provide the tools for us to support you better.

    Thank you,
    Dave
