    I am trying to make a schedule that adds a different employee each hour (we have 1-hour shifts) each day based on their availability. When I run a new schedule, it only selects the same person – alphabetically – each day rather than a random person each time. Can anyone help with this? Perhaps I set something up incorrectly.

    at the moment the schedule templates module is not that smart, it can’t pick random employees for template shifts. You would need to manually create each template shift one by one, just as for the real shifts, for example
    Mon – 7-8pm – Bob
    Mon – 7-8pm – Tom
    Mon – 9-10pm – Megan
    Tue – 7-8pm – Karen
    etc

    Then as you have the full week ready, you can use it for the week schedule.
    There’s no option to specify “-random-” for the employee field in the template shift at the moment. Although it’s a good idea and I’ll try to find a way to implement this option in one of the nearest updates.

    So, if I have 10 employees who can work Mon 7-8, do I need to add a new schedule template for each of those individuals?

    Here is what we have in Excel and maybe I just need to change my configuration with your program.

    Hosts Shift (1 person shift)
    Sun-Sat
    7-8
    8-9
    9-10
    etc

    Cohost Shift (2 people per shift)
    Sun-Sat
    7-9
    8-10
    9-11
    etc

    I have 100 employees that I need to assign based on their availability and credentials. Here are some examples. Each person should only be assigned one shift of either type per day (or not at all).

    Caleb – Host – available M, Tue, Wed, Sat from 7-12
    Steve – Host or Cohost – Available M, Tu, W, Fri, Sat from 10-12
    Mona – Cohost – available daily 9-2
    Danielle – Host – Daily – 7-9
    Don – Host or Cohost – Daily 10-2

    Our current Excel sheet then creates a schedule each day based on people’s availability and fills it with a random person that matches those hours.

    Can your system do that? I can also provide you access to look, if easier.

    thank you for your detailed information. In the latest 4.9.6 version we’ve modified the “Schedule Templates” module so now it lets you choose available employees for open shifts.

    So first you create a schedule template:
    Sun 7-8 Host 1 x Open Shift
    Sun 8-9 Host 1 x Open Shift
    Sun 7-9 Cohost 2 x Open Shift
    etc

    Then when creating real shifts from this template, for each open shift it’ll display a drop down of possible employees to fill this shift. I hope it’ll work better for you.

    The other part, to specify “availability” or “preferred” time for employees, is not yet available with our plugin. An employee is considered available unless there’s an overlapping shift or time off. But we’re planning to add such a “availability” module in one of the nearest updates.
