Shop manager commission / order extra costs

Hello all
I have a scenario where my shop managers will pay from their bucket to get the order ready to be delivered
how can they attach the amount of money they spent on each order so I can send them their money
P.S: this extra money paid by shop manager have nothing to do with the customer, it is just between me and the shop manager
