@alexgf, I took a look at the staging site and nothing stands out to me that would be causing this. We’re at the end of our ability to provide free support, but I do have one final suggestion that may be worth trying.
There are a fair amount of plugins installed here. On the staging site, I’d suggest deactivating all the plugins except for volunteer management and switching to a default WordPress theme. Then go through the process of creating a new volunteer opportunity, signing up, removing the RSVP, and when the timing is right checking if the reminder email is still sent. This would potentially confirm whether another plugin or the theme is causing the issue. If going through these steps fixes the issue, then you can repeat the process, deactivating plugins one at a time or in groups. That should allow you to find the specific culprit.

Thanks for the additional details. That’s definitely the reminder email. For the “Guest Chef – 2/9/24” volunteer opportunity you provided the reminder email content for, did you sign up for that today, or did that happen a few days ago?
Can you also compare the reminder email settings to what’s below and let me know what differences you see?

Thanks for all the details. Would you mind copying and pasting the content of the reminder email here? Those should go out almost exactly four days before a one-time opportunity takes place (assuming the number of days in the settings hasn’t been changed). It’s odd that you’re getting the email so quickly. Is it possible the email you’re seeing is the immediate notification that you signed up to RSVP?
Sometimes all the emails can be confusing because they can come from both Gravity Forms and the volunteer management plugin. All of them can be turned off, but if some aren’t, then they may overlap.
I’m happy to help @alexgf, and you’re right that what you’re describing should not be happening.
Based on the URL you provided, it looks like the website is integrating our volunteer management plugin with Gravity Forms. Is that correct?
If that’s the case, it would be helpful to know how volunteers are being removed when they can’t make it. If they’re removed by trashing the Gravity Forms entry, then that won’t help. They’ll still be RSVPed in the system. The only way to stop a volunteer from getting the reminder email is by following the steps outlined here. Can you confirm that’s how volunteers are being removed?
Hopefully that gets to the bottom of the issue, but if not, we can certainly keep troubleshooting.

Thanks for reaching out @home2mars. It’s not possible for a volunteer to update or change their RSVP after they’ve already signed up. This is something you’d have to do in the admin of the website. In most cases, volunteers will email the organization, who then updates the RSVP.
It’s certainly possible to build this type of functionality into the plugin, but it would require some coding skills to tackle it.

In reply to: [Wired Impact Volunteer Management] Different Jobs at an EventThanks for reaching out Joe. Unfortunately, there’s no way to list multiple roles using one volunteer opportunity. Instead, we’d suggest creating one volunteer opportunity for each role. To use your Pancake Breakfast example, you would create four different volunteer opportunities within the plugin:
- Pancake Breakfast – Setup Volunteer
- Pancake Breakfast – Volunteer Cook
- Pancake Breakfast – Volunteer Server
- Pancake Breakfast – Clean Up Volunteer
For each opportunity you could then modify the maximum number of volunteers as necessary. So to use your example again, you would set the maximum number of volunteers for the Pancake Breakfast – Volunteer Cook opportunity to be four.

In case you ever want to troubleshoot it, the issue seems to be that the second page of volunteer opportunities was being redirected back to the first page. You can see this by going to https://fishtrap.org/volunteer-at-summer-fishtrap-2-2/page/2/. Instead of landing on that URL, your website is redirecting back to https://fishtrap.org/volunteer-at-summer-fishtrap-2-2/. It’s a little tough to know the cause, but it’s likely your theme or a plugin. I’d suggest switching to the default WordPress theme and deactivating the other plugins on you site. From there you can test the pagination to see if it starts working. If it does, you can activate plugins and your theme one by one to see what’s causing the problem.

If you edited the templates to add or change fields, you’ll also need to include code on the backend to handle processing and storing that data. There are a ton of different approaches folks can take to that, but generally you’ll use WordPress hooks to grab the data, clean it up, then put it in the database however you’d like.
Coding is outside the scope of our support here, so if you don’t have a ton of programming experience it may be helpful to work with a WordPress developer to get it all working.
